Getting started: three steps to put your files to work

You bring the files — VaultIQ turns them into answers

As a Vault Contributor, you don't manage users or vaults — you feed them. These three steps take you from a folder on your machine to a vault your team can chat against.

Before you create a single DataSet

Know what you're bringing in

As a Contributor, you set the classification on anything you upload. Get this right before you connect your files — a Vault Admin can adjust it later, but the safest habit is to classify accurately from the start.

What the three classifications mean in VaultIQ

  • Public — safe for anyone with a login to read or chat against. No client names, no financials, no internal decisions.
  • Private — internal to the firm. Fine for staff to see, but never leaves the organization.
  • Restricted — need-to-know only. Client files, HR records, anything tied to a person or a legal obligation.
If you're unsure: ask your Vault Admin before marking something Public. It's easy to widen access later — you can't undo a document once someone's read it.

One Agent, your machine

Install the Agent and create your DataSets

Connect the files you're responsible for — a folder, a NAS share, or a cloud drive — and turn them into a DataSet VaultIQ can index. Then assign that DataSet to the vault it belongs in.

Vault Contributor

A knowledge builder who manages their own content and contributes it to vaults.

  • Installs the VaultIQ Agent on their own machine only
  • Creates DataSets from their own local or cloud sources
  • Assigns DataSets to one or more vaults
  • Chats within vaults they're assigned to

How it works

  • Install the VaultIQ Agent on your own machine — Contributors can't install it for anyone else, that's a Vault Admin task.
  • Point the Agent at your source: a local folder, a NAS path, or a cloud drive.
  • Name the DataSet clearly so teammates recognize what's inside it.
  • Assign the DataSet to one or more vaults — only vaults you already have access to.
In the portal: go to DataSets → New DataSet, choose your source, set classification per file or folder, then assign it to a vault before you sync.

Contributing isn't the finish line

Chat against what you've added

Once your DataSet finishes syncing, anyone with access to that vault — including you — can ask questions and get answers pulled from your files. Here's what to expect.

What you can expect

  • You can chat against any vault you're assigned to — including ones other Contributors feed.
  • Restricted documents only show up in chat if you were personally granted access to them.
  • If an answer looks thin right after upload, check whether your DataSet has finished its first sync.

Before you expect an answer

Is the vault chat-enabled?A Vault Admin turns chat on per vault. Ask them if it's still switched off.
Did you classify the file correctly?Marking something Restricted by mistake can hide it from teammates who need it.

Rule of thumb

Sync first, chat second. If you just uploaded something and don't see it in an answer yet, give the Agent a few minutes before assuming something's wrong.
