Getting started: three steps to get answers from your vaults

Everything you need is already assigned — here's how to find it

As a Vault Viewer, you don't set anything up — a Vault Admin has already decided what you can see. These three steps get you from login to your first good answer.

Before you type a question

Find the vaults you've been given

As a Viewer, you don't create anything — an Admin has already decided which vaults you can see. Your first stop is simply finding them.

An everyday user who queries vaults through the chat interface.

  • Accesses the chat UI and asks questions in natural language
  • Queries only the vaults a Vault Admin has assigned
  • Cannot install agents, create DataSets, or manage vaults

What to check first

  • Log in and look at your vault list — you'll only see vaults you've been assigned to.
  • If a vault you expect isn't there, ask your Vault Admin to add you — Viewers can't add themselves.
  • Each vault only surfaces documents at or below the access level you were given.
If a vault is missing: that's expected, not a bug. Ask whoever manages your team's vaults to add you — you won't see anything you haven't been granted.

No syntax, no training required

Ask questions in natural language

VaultIQ's chat reads like a conversation, not a search bar. Pick a vault, and ask what you'd ask a colleague who'd read every document in it.

Good habits

  • Ask specific questions — "What's our refund policy for enterprise clients?" beats "refund policy."
  • Mention a document name or date range if you're looking for something specific.
  • If an answer cites a source, that's the actual document it pulled from — worth opening if it matters.
In the portal: open Chat, choose the vault you want to query from the dropdown, and type your question like you would in a message to a teammate.

Chat only shows you what you're allowed to see

Know what you're seeing, and what you're not

Every answer is filtered to your access automatically — you'll never see a Restricted document you weren't granted. If an answer feels incomplete, that's usually why.

Before you assume something's wrong

Rule of thumb

If an answer seems too thin, it's more likely a permissions gap than a wrong answer. Ask your Vault Admin before assuming VaultIQ missed something.
